Mangalis Hotel Group Privacy Policy

We collect personal information that you choose to provide voluntarily when using our web site.

This information includes your AvantGarde by Mangalis account. You can use our site without creating an account, but you will need to create an account if you want to take advantage of certain features. We may also ask for personal information when you contact our Customer Support Department. This will allow us to protect your confidentiality by verifying your identity.

Following a stay in one of our hotels, your hotel stay information is collected and stored by our hotels locally, and subsequently transferred to a centralised database. This facilitates aggregated trend analysis used for hotel management purposes, such as planning new hotel locations, evaluating hotel amenities, guest preferences, and advertisement planning. In addition, your business with us is valued and we may use the record of your stay to send you personalised communications by post or e-mail, such as guest surveys or promotional offers and benefits. You may “opt-out” or choose to be excluded from these communications by ticking the relevant box on your guest registration form during your hotel stay or by contacting the Customer Service of our hotels. For customers who have not chosen to enrol in the AvantGarde by Mangalis program, we may contact you regarding your satisfaction with your hotel stay but we will not send you any sales, promotional communications or special offers unless you have given your consent to receive such communications.

Generally, we do not intentionally collect sensitive information, such as racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health or details on your gender or sexuality.

Some of our promotional offers may have a “Tell A Friend” feature that allows you to comment and share the offer with a friend via e-mail. If you choose to use this feature, we collect the e-mail address of your friend(s) to facilitate the referral but do not store it for any other purpose.

Why Do We Need Your Personal Information?

When you make a hotel booking, we ask for your name, e-mail address, mailing address, phone number, credit card number and expiration date. We use this information to process and complete your reservation.

When you register for an AvantGarde by Mangalis account, we ask for your name, mailing address, telephone number, e-mail address and PIN. Additional optional information in your profile is collected for specific services, such as check-in, room preferences, or point transfers to airline or other partner programmes.

You may access and update your AvantGarde by Mangalis profile online at any time, using your membership number and PIN. This data is stored in data bases that are protected from intrusion and unauthorised viewing, using commercially available software products we purchase in good faith from third party suppliers, and you do not have to re-submit this information each time you visit our web site.

This information is also used to recognise you as a repeat customer, so we can personalise your shopping experience.

Once you become an AvantGarde by Mangalis member, you will have access to special features, which conveniently saves your most frequented hotels and cities. AvantGarde by Mangalis members receive newsletters, points statements and promotional offers from Mangalis Hotel Group and its partners.

AvantGarde by Mangalis member information is shared with our programme partners listed in the membership welcome package and newsletters, unless you decline, or “opt-out” of a particular programme by contacting the AvantGarde by Mangalis service centre. When you join the Mangalis Hotel Group, or subscribe to any of our brands e-mail lists, we will ask for your e-mail address so we can send you e-mails about the latest offers, advanced event notices, and other benefits.

To deliver this information to you, we use a third-party e-mail marketing service that helps us conduct targeted permission-based e-mail campaigns. When registering for our e-mail program, the service provider may collect and store the personal information you provide on our behalf and have agreed with us that they will not share, rent, sell, trade or provide any of this information to parties other than Mangalis Hotel Group.

If you no longer wish to receive Mangalis Hotel Group e-mail communications, you can remove yourself from the list by following the instructions contained in the individual e-mails.

How Do We Use Your Personal Information?

The information we collect on our web site may be used to enhance your user experience in the following ways:

  • Confirm your hotel bookings
  • Request your opinion of a hotel stay through a customer satisfaction survey
  • Send you e-mails that regard your hotel stay
  • Register you as a member of AvantGarde by Mangalis

From time to time, we may request information from you for competitions. Participation in these competitions is completely voluntary and you have a choice whether or not to disclose the requested information. The information requested may include contact information (such as name and shipping address), and demographical information (such as postal code, age bracket).

Contact information gathered for the purpose of competitions will be used to notify the winners and award prizes. Demographical information will be used for the purpose of monitoring and improving your experience on our site.

We may co-sponsor competitions of other companies on our site. If you enter one of these competitions, our co-sponsor may receive the information collected or may collect the information directly. In such cases, we will tell you who is collecting your information, how our co-sponsor may use the information and how you can contact our co-sponsor. Unless you want to be withdrawn from the competition, you will be deemed to have given your consent on registering for the same.

Are We Sharing Your Personal Information?

We will only share personal customer information with our hotels, representatives and trusted service providers and contractors for limited purposes, including fulfilling customer reservations; offering certain products and services in connection with our web site; communicating to customers via e-mail and through our interactive chat feature (where applicable); providing customer service; enhancing and improving our customers’ online experience; enabling access to our partners’ sites; providing a personalised online experience; and completing credit card transactions.

For members of the AvantGarde by Mangalis loyalty programme, information is shared with our programme partners for the purpose of transferring rewards points and, with our prior approval, to promote special offers.

Aside from the purposes described above, we do not share your personal information with any other third parties without your permission, and will only do so in special circumstances, such as when we believe in good faith that the disclosure is required by law or to protect the safety of hotel guests, employees, the public or Mangalis Hotel Group and/or its property.

We reserve the right to disclose your personal information as required by law and when we believe that disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order or legal procedure served on our business entity.

We may share aggregated demographic and statistical information in the course of our business with certain third parties. This sharing does not include any personal information that can identify any individual person.

Please note that our site links to other sites and that the privacy policies of these sites may differ from our own. We advise you to check the privacy policies of other web sites before disclosing any personal information. In any event, please note that these sites do not share your personal information with us.

Occasionally when linking to another sites, you may still see our site logo or frame. This is to provide you with a seamless experience when visiting our web site. In these cases, you are no longer on our site and are now on different web sites, whose information collection practices may differ from our own. We Protect the Security of Your Personal Information

In our efforts to protect your personal information, we use generally accepted security standards, including administrative, technical and physical measures. Additional safeguards are in place for sensitive personal information. These safeguards are continually updated and maintained by qualified information security professionals.

One of the security techniques we use for online transactions is a technology called Secure Sockets Layer (SSL). If your browser is SSL enabled (most are), your personal information will be automatically encrypted, or encoded, before it is sent over the Internet.

Your personal information is also protected by the Personal Identification Number (“PIN”), created when you joined the AvantGarde by Mangalis loyalty programme. Please keep this PIN confidential. You may change this at any time by going to Your Account log in page and clicking on “Personal Information”, where you can change and enter a new PIN.

If you contact one of our service centres by telephone, a Customer Service Associate may ask you for your PIN to verify your identity if you are requesting service.

More About the Credit Card Fraud Policy

In the unlikely event that you experience the unauthorised use of your credit card on one of our web site or any other web site, immediately report the fraudulent activity to your credit card company. Please check with your credit card company to verify their specific terms and conditions.

We store personal information for AvantGarde by Mangalis Members that can be updated online. AvantGarde by Mangalis members can modify their personal information at any time. Simply go to Your Account, log in and edit the relevant information. We will respond to your request within thirty (30) days of you requesting the change. If you wish to delete your account entirely, please contact the nearest AvantGarde by Mangalis service centre. On your request for deleting your account, we will delete your personal information from our databases.

Guest Satisfaction Surveys

We strive to maintain and continually improve the quality of all our hotel brands. Customer comments and feedback are valued and used as a quality control tool.

As part of the hotel stay experience, we use a third-party service to randomly survey guests and request an evaluation of the hotel property and service. These surveys are sent via e-mail and post. If you have a preference for either e-mail or post or if you do not wish to be contacted for these customer satisfaction surveys, please advise the hotel either at check-in or during your stay.

E-mail Communications

We do not intentionally send you unsolicited e-mail marketing communications. If you choose to receive periodical communications from us, we may from time to time send you e-mail messages with new promotions, featured hotels and special offers. You can opt out from receiving these e-mails at any time.

For AvantGarde by Mangalis members, simply go to Your Account, sign in, click “Communication Preferences” and change your preferences.

If you are not a member of AvantGarde by Mangalis, and you have an e-mail account registered with us, you can change your e-mail preferences by visiting our e-mail Registration Site. Links to this site can be found on each brand’s web page.

The e-mail communications that we send are described below:

- Membership Transactions:

  • We may send you e-mail confirmations of any member transactions that you carry out (redemptions, promotions, registration, points, deposits). These confirmations will only be sent if a transaction has been made.

- Reservation/Stay Related Interactions:

  • We may send you a booking confirmation e-mail to confirm any bookings you make on our site or via our call centre. A similar confirmation may be sent if you modify or cancel a reservation on one of our other sites. These confirmations will only be sent if a transaction has been made.

- Pre-Arrival Communications:

  • In some instances, we may use the e-mail address you provided when booking to notify you about local weather conditions, hotel information and area information, a few days prior to that particular stay.

- Post-Stay Communications:

  • In some instances, we may use the e-mail address you provided when booking to thank you for your hotel stay at that particular hotel, request feedback on your stay or to ask your permission to continue to send you special offers and news by e-mail from the hotel where you stayed.

- Operational Notices:

  • E-mail addresses may also be used to respond to customer service enquiries and to answer any other questions you may have about our site. We may also need to send you e-mails to inform you of any changes to our site that might affect your personal information or to notify you of any “issues with your booking.


AvantGarde by Mangalis Members:

The membership terms and conditions of AvantGarde by Mangalis include provisions for the privacy of information. These provisions are as follows:

Data Privacy

Under the data protection legislation of various countries, we are required to particularly draw your attention to the fact that by applying for membership, or by continuing to exercise your membership privileges, and in order to make it possible for Mangalis Hotel Group to perform its obligations under the Membership Programme, you hereby accept and explicitly authorise the processing of your personal information, which was supplied by you in the registration form or during the course of the membership programme, and agree that said information

(i) shall be processed by Mangalis Hotel Group, in its role as data controller, by its subsidiaries, affiliates or franchisees, including Mangalis Hotel Group hotels, and by AvantGarde by Mangalis Service Centres, and (ii) may be transferred worldwide to any third parties with which Mangalis Hotel Group is affiliated within and for the purpose of the programme (“Frequency Alliances”); or to third parties that process your personal data on our behalf; or where required by applicable law; or in the event of a company reorganisation, merger or acquisition, for use of such information for its (their) administration of membership records, guest services, advertising, marketing and communication purposes. As such, they or we may contact you for marketing purposes by mail, fax, telephone or e-mail, or any other means of communication.

Mangalis Hotel Group reserve the right to change, modify or amend this policy at any time.
